Privacy Policy

Asheville Tutoring (“we,” “us”) is a tutoring practice based in Asheville, North Carolina. This policy explains what information we collect on this website (ashevilletutoring.com) and in our family portal (portal.ashevilletutoring.com), how we use it, and the choices you have. Our services are offered to families in the United States only.

The short version: we collect only what we need to schedule, deliver, and bill for tutoring; we never sell your information; and payment details are handled by Stripe, not stored by us.

Information you give us

Inquiry form.When you request tutoring through our booking form, we collect your name, email address, phone number (optional), your student’s first name and grade level, subjects of interest, your preferred tutoring format, how you heard about us, and anything you write in the message field.

Family portal. If you become a client, your family portal account holds the information needed to run tutoring for your family: parent/guardian contact details, home and billing addresses, session schedules and attendance, invoices and payment history, and messages between you and us.

About your student. Information about your child — name, grade level, subjects, session notes, progress notes, and photos of their schoolwork — is provided by you or recorded by the tutor as part of tutoring. It is used only to deliver and document tutoring, is visible to you in the portal, and is never used for marketing or shared with third parties (except the service providers that host our systems, listed below). Children do not have accounts and we do not knowingly collect information directly from children under 13.

Payments.Payments are processed by Stripe. Your card or bank account number goes directly to Stripe — we never see or store it. We keep only what’s needed to show you your own payment method (for example, “Visa ending 1234”) and your invoice history.

Signing in. The portal signs you in with an email link or with Google. If you use Google, we receive your name and email address from your Google account — nothing else.

Information collected automatically

Our own analytics. We run first-party analytics on this site to understand which pages are useful. It records pages visited, the site that referred you, campaign tags, general device type, and approximate location (city/region, derived from your network — never precise GPS), tied to a random identifier stored in your browser. It is not connected to any advertising network.

Third-party analytics. The public website (not the family portal) uses Microsoft Clarity, which records how visitors interact with pages (clicks, scrolling, session replays and heatmaps) to help us improve the site, and Cloudflare Web Analytics, which is cookieless. Spam prevention and security. When you submit the inquiry form we record your IP address and browser information to detect spam and abuse. Standard server logs (used for security and troubleshooting) also record IP addresses.

How we use your information

We use the information above to:

  • respond to your inquiry and set up tutoring;
  • schedule sessions and send service communications — session confirmations, calendar invites, billing statements, and account emails;
  • send text messages, only if you have separately opted in to texting (see below);
  • bill for sessions and process payments through Stripe;
  • document your student’s progress for you;
  • improve our website; and
  • meet our legal, tax, and record-keeping obligations.

Text messaging

We text you only if you opt in, and you can opt out at any time by replying STOP to any message. Message frequency varies and message & data rates may apply. Consent to receive texts is never a condition of receiving tutoring services.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties.

Who we share information with

We never sell your information, and we don’t share it with anyone for advertising. We share it only with the service providers that run our systems, and only so they can provide their service to us:

  • Stripe — payment processing;
  • Resend — sending our email;
  • OpenPhone — our business phone line (calls and texts);
  • Google — optional portal sign-in, and address lookup for session locations;
  • Cloudflare — website hosting, security, and analytics;
  • Microsoft — Clarity website analytics (public site only);
  • Neon — database hosting.

Beyond that, we disclose information only if the law requires it (for example, a valid subpoena), to protect safety, or — if the business is ever sold or reorganized — to a successor who must honor this policy.

How long we keep information

We keep your family’s records while you’re an active client. After a family leaves, we keep invoices and payment records for as long as tax law requires (generally seven years) and retire other information over time. You can ask us to delete your information sooner; we’ll honor the request except where we are legally required to keep a record.

Security

All traffic to our website and portal is encrypted (HTTPS). Access to family records is limited to the people who run Asheville Tutoring. We deliberately never store card numbers, bank account numbers, or Social Security numbers on our systems. No system is perfectly secure, but we design ours to hold as little sensitive data as possible.

Your choices

  • Email: any non-essential email we send includes an unsubscribe link. Service emails (billing notices, session confirmations) are part of being a client.
  • Texts: reply STOP at any time.
  • Your records: email us to access, correct, or delete the information we hold about your family.

United States only

Our services are directed to United States residents, and our systems are hosted in the United States. We do not offer services to, or knowingly collect information from, visitors outside the U.S.

Changes to this policy

If we change this policy in a meaningful way, we’ll update the effective date above and — for portal clients — let you know directly.
